Newcastle businesses tend to be small teams doing a lot: independent restaurants and bars, agencies, clinics, training providers, firms spun out of the universities. In most of them the same few jobs eat the week. An enquiry arrives by email, someone copies it into a spreadsheet, a confirmation gets typed out, an invoice gets chased. We connect the systems you already use so that routine runs by itself, and we use AI only for steps that need judgement, such as sorting an inbox or drafting a reply for you to approve.
We work in the North East and meet clients across Tyneside in person. For UK clients we handle UK GDPR and PECR consent with data processing agreements, and we say plainly where your data goes. Workflows run mostly on n8n, hosted on our own server in the EU, or on your own server if you prefer. Our founder Tiago Francisco is an award-winning video producer who also builds platforms, so the thinking is practical rather than corporate. We run our own studio on the same tools.
What we do
Enquiries into one place
Emails, web forms and messages land in a single list with the details filled in, the right person is told, and the sender gets a clear acknowledgement straight away.
Bookings, reminders and invoices
Confirmations and reminders go out on schedule, invoices are produced from your records, and late payments prompt a polite chase before anyone has to remember to look.
Event and booking assistants
For a UK members' club we built an assistant where staff type a plain-English brief and the event is drafted, published with tickets, venue and agenda. It suits any venue running regular events.
Reports and email triage
A weekly summary pulled from your systems, and an assistant that sorts your inbox and proposes replies. Nothing is sent or changed until you press Apply, and changes can be undone.
Recent work
Two platforms we built in Switzerland. The UK members' club assistant has no case study page, so it is described above.
How it works
- 01
Intro call
A free 20-minute call, by phone, video or in person around Newcastle: what takes up your week, and which tools does it pass through?
- 02
Review and quote
We map the workflow, pick the tasks that would give most time back and send a written fixed quote that states what is included and what is not.
- 03
First workflow live
A first workflow typically takes 1-2 weeks to go live. You test it on real enquiries before we build anything further.
- 04
Run and refine
We monitor each workflow, correct faults and adjust as your business changes, and show you what the AI spends each month.
Questions
Do you work with businesses in Newcastle in person?
Yes. We work in the North East of England and can meet you across Tyneside for the first review. Most of the build happens remotely with shared documents and short calls, so you spend your time on the decisions, not on meetings.
Is it compatible with UK GDPR?
We set up workflows with UK GDPR and PECR in mind: minimal data, clear privacy notices, data processing agreements, a record of where data goes and a human handover. Public models are not trained on your data. Your own adviser signs it off.
How much does AI automation cost for a Newcastle business?
We do not publish prices, because scope decides them: the number of workflows, how many systems they connect and how much judgement AI must supply. You get a fixed quote in writing after the intro call. AI usage is shown to you each month.
Can you work with our existing tools?
Usually yes. Most booking, accounting, CRM and email tools offer an interface we can connect to. We check yours on the intro call and say honestly if one of them needs a workaround, before any quote is written.
Who hosts the automations?
By default our own server in the EU (Frankfurt). If you would rather keep everything on your own server, we can run n8n there instead. We agree the location with you in writing, so nothing is hidden in the small print.
